Event Planning at SUNY Oneonta

Below are the guidelines to follow when planning an event on campus. Please begin this process at least 3 weeks from the date of your event to allow enough time for each department to process the paperwork. Please be sure all paperwork is filled out properly and accurately to be processed on time, otherwise it will have to be resubmitted. Special requests might need more time to be processed.

  1. Reserve the space for your event with the Building Manager or online.

  2. Contact Sodexo Catering to get a quote on the food items for your event. Please know how many people, what food you would like, what is the beginning time, end time and location.
  3. Use the quote to fill out a request on Campus Connection. Your advisor has to approve the event first then the SA Treasurer.
  4. Take the approval from SA (usually in e-mail format) to the Sodexo Catering Office in Morris 121 to make your estimate an official contract. If the approval comes to Sodexo too close to the event date, it might be too late to order the requested food items.

Events at CME to Cook

Please begin this process at least 3 weeks from the date of your event to allow enough time for each department to process the paperwork. Please be sure all paperwork is filled out properly and accurately to be processed on time, otherwise it will have to be resubmitted. Special requests might need more time to be processed.

Rules:
  • Each Club may prepare food for two events a semester.
  • Each event must serve food for 50 or less people.
  • Food safety and handling procedures (Serve Safe) must be implemented.
  • A Food Event Approval Form must be filled out and handed in to Sodexo Catering for approval. Please see the form for more regulations.

Process:

  1. Reserve the space for your event with the CME Building Manager, (607) 436-2663. You are required to meet with the Director to review kitchen use guidelines.
  2. Fill out a Food Event Approval Form if you plan on preparing your own food and turn it into the Sodexo Catering Office in Morris 121.
  3. If approved by Sodexo, get an estimate cost from Sodexo and fill out a request on Campus Connection. Your advisor has to approve the event first then the SA Treasurer.
  4. Take the approval from SA (usually in e-mail format) to the Sodexo Catering Office in Morris 121 to make your estimate an official contract. If the approval comes to Sodexo too close to the event date, it might be too late to order the requested food items.
